Troubleshooting Common Issues

I can't hear/see my provider. What should I do?

Check that your volume is up and your camera/microphone aren't muted. You may need to allow browser permissions for audio and video. See below under ‘Troubleshooting More Detailed Issues’ for more information.

The video keeps freezing or breaking up. How can I fix this?

Try moving closer to your Wi-Fi router or connecting via Ethernet cable. Close other apps and browser tabs to free up bandwidth.

What if I get disconnected during the session?

Don't worry. Simply log back into your patient portal and rejoin the video call. Your provider will wait for you to reconnect.

How can I test my setup before the appointment?

TherapyNotes offers a pre-session tech check. Look for the "Test Your Device" option in your patient portal. See below under ‘Troubleshooting More Detailed Issues’ for more information.

Is my telehealth session secure and private?

Yes. TherapyNotes uses end-to-end encryption to ensure your session is private and HIPAA-compliant.

FAQs for Managing Pre-Session Anxiety

I'm feeling anxious about my upcoming telehealth session. Is this normal?

Yes, it's completely normal to feel anxious before a telehealth session, especially if it's your first time. Remember, your provider is there to help and support you.

What should I have available for my telehealth session?

Have these items ready:

- A glass of water

- Any medications you're currently taking

- A list of questions or topics you want to discuss

- A notebook and pen for taking notes

 - Your insurance card and ID, if required

How can I calm my nerves before the session?

Try this 5 senses approach to ground yourself:

- Sight: Place a comforting photo or object where you can see it during the call

- Sound: Play soft, calming music before your session

- Smell: Have a pleasant scent nearby, like lavender oil or a scented candle

- Taste: Keep some hard candy or mints on hand

 - Touch: Hold a stress ball, smooth stone, or soft fabric

What if I start feeling overwhelmed during the session?

Let your provider know how you're feeling. They're trained to help you through these moments. You can also use grounding techniques, like deep breathing or focusing on objects in your room.

Can I have someone with me for support?

Check with your provider beforehand. Many are open to having a support person present, especially for the first session.

How early should I prepare for my session?

Try to start preparing about 15-30 minutes before your session. This gives you time to set up your space, gather what you need, and use some calming techniques.

What if I'm not in the right headspace for the session?

It's okay to feel this way. Share your feelings with your provider at the start of the session. They can help you work through your current state or adjust the session accordingly.

Remember, seeking help is a brave step. Your provider is there to support you, no matter how you're feeling on the day of your session. We’ve got this.
